Buy or rent radios: 6 decision criteria

Buying or renting two-way radios depends on the operation’s duration, frequency of use and who will look after equipment between shifts. Temporary activities, permanent teams and seasonal peaks may require different decisions. Compare the full set of needs before choosing by each radio’s price alone.

1. Does use have a defined start and end?

With rental, the contract can follow the period of need. For events, consider setup, tests, the event itself and dismantling. For temporary business operations, provide the expected start, usage days and possible extensions. The usage period should not be confused with the date equipment needs to be available for preparation.

Purchasing merits comparison when use will be recurring and the company intends to keep the equipment. This also requires organizing storage, charging, maintenance and unit replacement. Neither option is automatically cheaper: compare proposals for the same scope and period.

2. Does the quantity remain stable?

A permanent team may have relatively predictable needs. Trade shows, concerts, stocktakes, shift changes and seasonal activities may change the number of people needing communication. In that case, consider a combination: owned equipment for daily work and rental for temporary operational increases.

Separating posts helps estimate quantities. List coordination, access, production and support, for example. Indicate who works simultaneously and who shares equipment on different shifts. Spare replacement units should be discussed in the proposal without assuming they are included.

3. Who handles preparation and returns?

Define who receives, identifies and distributes equipment; where batteries will charge; who checks accessories; and how faults will be reported. For rental, confirm which tasks are included in the contract and which remain with the client’s team. For purchases, assess how this routine will be maintained throughout use.

Earpieces, microphones, clips, batteries and chargers are part of the decision. Connector appearance does not prove compatibility: check the exact model and corresponding documentation. For equipment already in use, collect brand, model and accessory details before requesting a complementary kit.

4. Is the problem quantity or coverage?

Adding radios does not, by itself, resolve an area without communication. Describe indoor and outdoor areas, floors, obstacles and points between which the team needs to communicate. A repeater can be part of a system planned for the operation, but its need and configuration depend on assessing the situation.

Handheld radios, mobile equipment and repeaters have different roles. Avoid selecting infrastructure solely by an advertised range. Use the coverage and repeater rental guide to organize information and, for events, plan the test before opening.

5. Compare proposals with the same contents

A useful comparison identifies what is included and what must be contracted or carried out separately. Confirm:

  • Models, quantities, accessories and planned spare equipment.
  • Period, preparation, collection or delivery and return.
  • Planned configuration, tests, usage guidance and support.
  • Procedures for faults, damage, loss and extensions.
  • Items and terms subject to technical assessment or commercial confirmation.

If body-worn cameras are included, plan the recording workflow: who uses equipment, who accesses material, how files are transferred and which platform is used. Recording and information management are part of planning; do not assume every camera has live streaming or radio integration. See the body-worn camera rental guide.

6. Turn needs into a clear request

You can ask ABC Mais Telecom to assess rental and purchase without choosing a model in advance. Describe the operation, frequency of use and equipment already owned. Availability, contents, logistics and support must be confirmed in the proposal.

Questions before deciding

Can I combine owned and rented equipment?

This option needs assessment against existing models and configuration. Provide full equipment details and the features the team needs. Similar brands or connectors do not guarantee compatibility for all functions.

Does rental automatically include a repeater or body-worn camera?

Do not assume kit contents. Describe the need and check the items and services specified in the proposal. Radios, repeaters and body-worn cameras have different functions.

Do I need to know the model before requesting a quote?

No. Start with the activity, location, period, users and critical points. If equipment is already in use, providing the brand and model helps guide the assessment.
